Cancellation & Refund Policy
Surf & Sol Retreat | May 21–25, 2026
We value transparency and care in how we host this retreat. Because Surf & Sol is intentionally small and built on early commitments to local partners, please read this policy carefully before booking.
By registering, you acknowledge and agree to the terms below.
Non-Refundable Deposit (Important)
All deposits are non-refundable.
Your deposit secures your space and allows us to make non-recoverable, upfront commitments to housing, surf instructors, food providers, and community collaborators. These costs are incurred well before the retreat begins and cannot be recovered if a guest cancels for any reason.
Guest Cancellation & Refund Timelines
If you need to cancel your participation, the following applies:
On or before March 31, 2026
Payments made beyond the non-refundable deposit may be refunded, minus any processing fees.April 1 – April 30, 2026
50% of payments made beyond the deposit may be refunded only if your spot is filled.May 1, 2026 or later
No refunds will be issued.
We encourage guests to notify us as soon as possible if plans change. Earlier notice allows for greater flexibility.
Transferring Your Spot
You may transfer your registration to another person with prior written approval, provided:
We are notified at least 14 days before the retreat start date, and
The new participant completes all required registration and waiver forms.
Host Cancellation
If Surf & Sol Retreat must be canceled by the hosts for reasons within our control:
You will receive a full refund of all payments made, including your deposit, or
You may choose to receive a full credit toward a future Surf & Sol retreat.
Guests will be notified promptly, and their choice will be honored.
Force Majeure & Unexpected Events
Force majeure refers to events outside anyone’s control, including but not limited to:
Natural disasters
Government travel restrictions or bans
Pandemics or public health emergencies
Political unrest or safety concerns
If the retreat cannot take place due to a force majeure event:
Refunds may not be guaranteed, as many retreat-related costs will already have been paid.
Guests will be informed promptly and transparently.
Depending on circumstances, guests may be offered:
A partial refund of payments beyond the deposit, and/or
A credit toward a future Surf & Sol retreat.
Decisions will be made with care, fairness, and long-term sustainability in mind.
Illness & Personal Emergencies
We understand that unexpected situations arise. However, we are unable to offer refunds outside of the policy outlined above, including for illness, injury, or personal emergencies.
For this reason, we strongly recommend purchasing travel insurance.
Travel Insurance
Retreat refunds are not the same as travel insurance.
Travel insurance often covers:
Illness or injury
Emergency cancellations
Travel delays or interruptions
Surf & Sol does not provide travel insurance and is not responsible for coverage decisions. Guests are solely responsible for securing their own insurance coverage if desired.
Refund Processing & Payment Timelines
Refunds are issued to the original form of payment.
Card refunds typically process within 5–10 business days once approved.
Any third-party processing fees are non-refundable and will be deducted from the refund amount.
Processing timelines may vary depending on your bank or payment provider.
Why This Policy Exists
Surf & Sol is rooted in reciprocity, responsibility, and care for the land and people we work with. We make early financial commitments to local families, guides, and collaborators to ensure the retreat is hosted with integrity. This policy allows us to honor those commitments while offering a grounded, sustainable experience for all.
